Managing Documents in Multi-Template Work Items

A multi-template work item can contain several templates, each of which produces its own set of documents when an interview is completed. You use the Templates tab to launch and manage interviews for each template, while the Documents tab displays the assembled documents across the entire work item.

Preview Feature
The implementation of multi-template work items in the current version is a preview.

As a preview feature, multi-template work items are intended for evaluation and early adoption. Feature behavior, limitations and integration support may change before general availability.

The following features are not currently available when using work items with multiple templates:
• iManage integration
• Client interviews
• Image variables (answer packages are not supported)
• Work item versions
• Default answers

The above features are currently being worked on and will be released incrementally.

Templates tab

The Templates tab lists every template associated with the work item and shows:

  • Interview status—whether an interview can be launched, is in progress, has been saved, or is complete.
  • Per-template document count—the number of assembled documents belonging to each template.
  • A Launch or Open button to access an interview for any available template.

Interview availability

You can run only one interview at a time per work item. Whether you can launch a different template depends on the status of any interview already in progress.

If assembly completes with an error, a banner indicates the failure and provides the option to retry the interview.

Documents tab

The Documents tab shows the assembled documents across all templates in the work item.

During assembly, documents belonging to the template currently being assembled are not shown. Documents from other templates remain visible.

When assembly and any post-processing complete, the document list refreshes automatically, replacing previous documents and updating counts.

If assembly errors occur, no documents for the assembling template are displayed, and a status alert describes the error.

Use the filter functions to sort documents by template and assembly date.

Downloading documents

Documents not associated with an in-progress assembly can be downloaded at any time. Download buttons for documents linked to the assembling template are disabled until the process finishes, at which point all documents become downloadable.

Document counts

Document counts appear in two places:

  • The work item list—a summary total for the entire work item.
  • The Templates tab—a per-template count within the work item detail view.

Documents flagged as hidden can create inconsistencies in the document counts.

Reassembly behavior

When you complete an interview for a template that already has assembled documents, the previous documents are replaced. During this process, a status banner appears on the Templates tab and all interview and template management controls are locked across the entire work item—not just the template being assembled. When reassembly completes successfully, the banner is removed, the Documents tab refreshes, and all controls re-enable. If reassembly fails, the status banner is replaced with an error message, no documents are shown for the affected template, and the interview button updates to offer a retry option.

Details tab

The Details tab shows the metadata for the work item, such as its owner and sharing status.

In the preview release, the work item owner and sharing status are not editable.
