Setting a Work Item to Private

When you create a work item, you can choose whether to grant access to your work item to members of your work group. By default, work items are set to be visible to other members of the same work group, who can relaunch a work item interview, update answers and generate new assembled documents. If you do not want other members of your work group to collaborate on your work item, you can set the work item to private.

To set a new work item to private

When you create a work item, you can use the toggle to determine the privacy setting:

The work item's detail pane displays the privacy status of the work item.

To set an existing work item to private

You can only change work item privacy settings if you are the owner of the work item or an administrator.

  1. Select a Work group from the Work groups pane.
  2. In the Work Items list, select the Work item you want to edit.
  3. In the Detail pane, click Edit.
  4. Toggle the privacy setting to allow only the owner and administrators to access the work item.
  5. Click Save Changes.

The work item updates to allow access only to the owner and administrators. It is no longer visible to other members of the work group.
