Users

The Users section of the HotDocs Hub allows you to add and configure Users. Using this section, you can:

  • View a list of Users
  • Create a new User
  • Edit User details

Only Administrators can view this section of the Hub.

User Roles

There are several User Roles that can be assigned to Users in the Hub::

  • Tenancy Administrator
  • Template Uploader
  • Template User

These User Roles are defined below.

Tenancy Administrator

A Tenancy Administrator has permission to perform the following actions:

  • Configure the HotDocs Hub
  • Create new Users
  • Create new User Groups
  • Create new Template Groups

The Administrator also has all the permissions of a Template Uploader and Template User.

Template Uploader

A Template Uploader has permission to perform the following actions:

  • Upload Templates from HotDocs Developer

Template User

A Template User has permission to perform the following actions:

  • View Template Groups in the Template Hub
  • Load Interviews for Templates to which they have access

Create a User

To create a new User:

  1. Navigate to the Users section of the HotDocs Hub
  2. Click Create User
  3. Enter the following User details:
    1. User Name (required) – the username the User uses to log in to the Hub
    2. Last Name (required) – the User's last name
    3. First Name (required) – the User's first name
    4. E-mail (required) – used to e-mail a user with password reset instructions
    5. Send Login E-mail – if checked, send an e-mail to the newly-created user, prompting them to log in to the Hub
    6. Enable Login – if disabled, users cannot log in to the Hub
    7. Roles – select the appropriate role to assign to the User:
      • Template User – can view Template Groups to which they are assigned and load Interviews
      • Template Uploader – can upload Templates to the Hub from HotDocs Developer
      • Tenancy Administrator – can upload Templates, administer Users, and administer the Hub
  4. Click Submit.

Edit a User

To edit an existing User:

  1. Navigate to the Users section of the HotDocs Hub
  2. Click a User in the list.
  3. You can edit the following fields:
    • User Name (required) – the username the User uses to log in to the Hub
    • Last Name (required) – the User's last name
    • First Name (required) – the User's first name
    • E-mail (required) – used to e-mail a user with password reset instructions
    • Enable Login – if disabled, users cannot log in to the Hub
    • Roles – select the appropriate role to assign to the User:
      • Template User – can view Template Groups to which they are assigned and load Interviews
      • Template Uploader – can upload Templates to the Hub from HotDocs Developer
      • Tenancy Administrator – can upload Templates, administer Users, and administer the Hub
  4. Click Submit

Remove a User

To permanently remove a User:

  1. Navigate to the Users section of the HotDocs Hub.
  2. Check each User you want to remove.
  3. Click Remove User(s). The selected Users are permanently removed.
