Attaching Multiple Templates to a Work Item

A work item represents a single matter and its associated answer set in HotDocs Advance. When multi-template work items are enabled, you can attach more than one template to the same work item and reuse a shared answer set across documents.

Preview Feature
The implementation of multi-template work items in the current version is a preview.

As a preview feature, multi-template work items are intended for evaluation and early adoption. Feature behavior, limitations and integration support may change before general availability.

The following features are not currently available when using work items with multiple templates:
• iManage integration
• Client interviews
• Image variables (answer packages are not supported)
• Work item versions
• Default answers

The above features are currently being worked on and will be released incrementally.

You must configure Advance for multi-template work items before users can attach multiple templates to a work item.

When multi-template work items are enabled in a work group, the new UI preview automatically displays.

For the best results, ensure that:

  • all templates intended for the same work item use shared variable names wherever possible.
  • you understand the current preview limitations of multi-template work items, as listed above.

To attach multiple templates to a work item

You can attach templates when creating the work item or any time afterwards.

  1. Open the work item.
  2. Go to the Templates tab.
  3. Select Add iconAdd.
  4. Choose one or more templates from the list.
  5. Select Save.

The templates appear in the order in which they are presented to the user.

Reordering templates

You can change the template order to match your preferred workflow or document sequence.

  1. In the work item detail pane, select  Edit iconEdit.
  2. From the drop-down menu, select Add/remove templates.
  3. Use one of the following options to reorder:
    • Option 1: Drag and drop
      • Select the Drag handle icondrag handle next to a template.
      • Drag the template to its new position in the list.
    • Option 2: Move up/move down buttons
      • Select theUp arrow up arrow to move the template one row higher, or the Down arrow icondown arrow to move it one row lower.
      • Repeat until the templates appear in the desired order.
  4. Select Save.

The updated order is saved with the work item and controls the order in which templates are listed.

Removing templates

You can remove templates you no longer require. A work item must have at least one template.

  1. In the work item detail pane, select  Edit iconEdit.
  2. From the drop-down menu, select Add/remove templates.
  3. Uncheck any templates you no longer require.

Unselected templates no longer appear in the work item. Documents assembled from removed templates are also removed from the work item.

Previously assembled documents do not update automatically when templates are added, removed or reordered. Reassemble documents to reflect changes.
